Job Summary

The current operational environment for the Counter Terrorism Policing Headquarters (CTPHQ) is dynamic, and CT Policing must continually respond to the threat faced, therefore change is at the heart of CT. Working within Counter Terrorism Policing HQ (CTPHQ) the Portfolio Support Officer (PSO) is part of the Change Pillar. The Change Pillar within CTPHQ is responsible for overseeing change activity across the CT Network.
Role Position within CTPHQ Change Pillar
The Change Pillar manages the delivery of the Counter Terrorism (CT) and Protective Security (PS) Policing Change Portfolio to meet our strategic objectives. It is split into 4 main functions; Portfolio Management, Change Management, Project and Programme Management (PPM) and Business Design. There is also a small Assurance and Standards team that reports directly to the Deputy Director Change.
The Portfolio Support Officer will sit within the Portfolio Office as shown in the organisation chart below. They will have line management structure in accordance with the team they join.

Job Purpose

The purpose of this role is to provide a high level of proactive support to the Portfolio Management team within CTPHQ Change Pillar to enable the delivery of change across the CTP Change Portfolio.

Key Responsibilities

The post holder will need to work flexibly to provide management and maintenance of relevant portfolio control documentation. The post holder will need to support the portfolio to:
• Review and manage email mailbox relating to the work of their team. This includes monitoring and coordinating responses relating to the work of the team.
• Manage CTP change governance meetings, ensuring that papers are circulated correctly and in time with locally agreed timeframes, producing summary minutes (especially decisions and actions trackers) and ensuring follow up actions are progressed and updated within the timeframes specified by the meeting chair.
• Contributing to the design of portfolio trackers, dashboards, process diagrams and similar documentation. This includes effectively obtaining relevant data and providing some analysis.
• Ensure control documentation is maintained and updated regularly, such as key logs, trackers and documents.
• Maintaining the corporate shared drive system in accordance with guidelines and standards, therefore ensuring compliance with Information Management Standards.
• Support coordination of key activities for the team. This may include onboarding/induction activities for newly appointed staff.
• Support facilitation of workshops and assist in the development of key artefacts in preparation for, or following these.
• To support the work of the wider Change Pillar by disseminating information and communications to Change Pillar staff and key stakeholders.
• To establish and maintain effective working relationships with staff and officers within the CTPHQ Change Pillar, other units within CTPHQ, across the CT Network, across Specialist Operations, other relevant areas of the MPS and with external stakeholders.
• To undertake additional high level administrative support tasks in line with the Band D grading as directed by their Line and/or Tasking manager.
• Enable the team with ad hoc administrative requests as required, to enable the successful delivery of the portfolio.
• The post holder may occasionally be required to support the wider Portfolio and Change Management Team within CTPHQ Change Pillar during periods of high demand or in line with organisational priorities.
